Privacy Policy

Last updated: October 18, 2026

This policy describes how the Kikishima macOS app, the api.kikishima.com service and this website handle data. Operator: [TBD].

Audio

Speech recognition runs on your Mac using Apple's on-device speech framework. Audio is not uploaded to our servers.

Meeting text sent for translation and summaries

To produce translations and meeting summaries, transcribed text (and related context such as glossary terms and, if you choose a calendar event, its title and attendee display names used as temporary terms) is sent to our server at api.kikishima.com and forwarded to a third-party AI model provider (currently OpenAI) to generate the result. Our server does not store meeting content; it records only usage counts (tokens and number of requests) for quota and billing purposes. The AI provider processes the text under its own terms and may retain it for a limited period as described in its policies.

Transcripts and summaries

Meeting transcripts and summaries are saved locally on your Mac. You can delete them at any time.

Account

You can sign in with email (one-time code), Google or Apple. We store your email address, the sign-in provider identifier, your plan, subscription status and usage counters. Sign-in codes are stored only as hashes and expire. Sign-in emails are sent via Resend.

Payments

Payments are handled by Polar. We do not receive or store card details. We receive subscription status, product and period end date from Polar, matched to your account by email.

Downloads and update checks

When you download the app or it checks for updates, we log the file and version, the country determined by Cloudflare, the user-agent, and a truncated one-way hash of your IP address and user-agent. We do not store your IP address in plain text. We use this to count downloads and active installs.

Analytics and crash reports

The app does not include third-party analytics or crash-reporting SDKs. This website uses no cookies and no trackers.

Chrome extension

The optional Kikishima Chrome extension reads subtitle tracks of supported video sites (currently YouTube) and sends that subtitle text through api.kikishima.com for translation, using your Kikishima account.

Service providers

Cloudflare (hosting, database), OpenAI (AI translation and summaries), Polar (payments), Resend (email), Google and Apple (optional sign-in).

Retention and your rights

Account data is kept while your account is active. To access or delete your data, email support@kikishima.com. Retention periods: [TBD].
